This following instruction will guide you to get started and created a new requisition on e-procurement application. Below are the requisition parameters to create a new requisition.
- On the main menu select ‘New Requisition’
- Requisition No , Requester, Financial Year, Department, Requisition Type are (Automatic Parameter)
- Select Requisition Type, Location, Currency, Priority
- Select Budget Head
- On Budget Head selection budget id, budget total, expenditure type, amount spent and available balance are automatic displayed.
- Input general purpose of requisition- This will be the title of the procurement
Adding Requisition Items
Requisition items are list of items to be procured. The following parameters are required
- Input Item description
- Input Quantity (for item with quantity, input the value, for item without quantity, leave it blank.
- Input Rate (Unit cost of item)
- Click ‘Add Item’ to add the item
- Repeat instructions above to add as many items as possible.
Note:
- Requisition Total is automatically calculated
- Extra budgetary is ‘YES’ if requisition total is more that Budget Balance.
- Extra budgetary is ‘NO’ if requisition total is less that Budget Balance.
Action:
- Save Requisition check box is automatically checked
- Check ‘Send For Approval’ check box to send requisition for approval.
- Click ‘Save Requisition’ to submit requisition.
- Requisition will be submitted and send to head of department for approval.
- If you are not ready to commit requisition for approval, don’t check the Send For Approval’ check box
